What would you do if you walked in bright and early Monday morning to find a message taped to your bookkeeper's laptop that reads like the one shown in the headline image of this story?
If you think, "No problem, I will just call QuickBooks Online support and tell them to restore from my last backup", I have news for you... that isn't going to work."
Although you've seen that your QuickBooks Online data is secure in QBO promotional materials, the Intuit backup and recovery plan is specifically designed to address cyberattacks, data breaches, or server failures that could impact the entire QBO platform.
So, while your QBO Data file is part of Intuit’s platform, their backup and recovery plan is NOT designed to restore it when your data is corrupted or missing due to malicious or erroneous human behavior.
If you experience data problems that are not related to a system-wide error, Intuit is not responsible for restoring your data.
In fact, the software agreement you executed with Intuit when you subscribed to QBO explicitly states, “You are responsible for any lost or unrecoverable content… Intuit is NOT responsible for any content you submit through these Services.”
A user-managed third-party backup of your QuickBooks Online data is the only way to protect your accounting data from calamity.
That’s why you need a third-party Backup App to backup your QuickBooks Data!
And that's why you want to attend Murph's Backup Solutions show during August's Future Forward event on Wednesday, August 6, 2025 at 1:00 PM Eastern.
I do feel the need to advise you of a noted exception to the backup issues cited above. QuickBooks Online-Advanced users have a Backup capability as part of their subscription that affords them the ability to configure their own backup and restore options within QBO.
But if you are using any of the other QBO subscription types (SKUs, as they are commonly called), you will need to use a 3rd-party backup solution.
If you go to the QuickBooks Online (U.S.) App Store, you will only find 'Rewind' listed as a Backup solution for QBO; however, you will find 'Skyvia' listed under data-solutions, even though their app store landing page doesn't mention backups as one of those solutions.
I've identified a half-dozen Backup solution providers that work with QuickBooks Online to securely backup and restore the data using the QBO Application Programming Interface (API). Four of these are not listed in the QBO (U.S.) App Store, which is another reason you need access to a comparative review of the backup solutions available.
Some of the solutions provide great capabilities than others, and some of them do a better job of keeping their solutions up-to-date with respect to data backup, backup retention, and restoration capabilities.
Last year, when I offered a webinar on this topic, many ProAdvisors responded, I didn't even know there was anyone other than Rewind offering backup of QBO."
Just because apps don't seek to be listed in the app store (for a variety of reasons) doesn't mean they can't backup QuickBooks Online. But if they are not listed in the App store, it's hard to find out about them, what they do, how well they work, and if they are still 'out there.'
Since last year, one of the apps I reviewed is still backing up files for users who started with it, but they are no longer accepting new subscribers. On the other hand, another app, which was coming onto the market 10 months ago, is now providing backup capabilities for QuickBooks Online data, focusing on accountants or consultants who want to provide backup as a service to their customers.
So, I've given you multiple reasons why you will want to attend Murph's Backup Solutions show during August's Future Forward event. The show will be held on Wednesday, August 6, 2025, at 1:00 PM Eastern.
