Are You Using QuickBooks Workforce?

QuickBooks Workforce is Intuit’s Human Capital Management platform for all QuickBooks Online SKUs, as well as Intuit Enterprise Suite. It incorporates payroll, time tracking, benefits administration, recruiting, onboarding, performance management, and offboarding into the accounting platform.

For accounting firms, the main relevance is operational: it can reduce the number of disconnected systems clients use to manage employees and make workforce costs easier to see in the books. 

Far too many small and mid-market businesses manage employees through separate tools for payroll, time, HR documents, benefits, recruiting, and performance reviews. Each system creates its own records which accounting firms must then reconcile to ensure payroll reporting compliance. QuickBooks Workforce addresses those issues by connecting all employee activities to the general ledger. Time entries, wages, payroll taxes, benefits, and retirement contributions are directly used for workforce-related accounting.  

Product Offerings

QuickBooks Workforce replaces the former QuickBooks Payroll Core, Premium, and Elite tiers. Current subscribers are moved to the corresponding Workforce tier. The three levels reflect different workforce needs.

Workforce Payroll is the base tier for straightforward payroll requirements. It includes full-service payroll, automatic payroll runs, next-day direct deposit, 1099 e-filing, employee records, and employee self-service. Optional add-ons include health benefits, 401(k) plans through Vestwell, Earned Wage Access, workers’ compensation administration, and background checks through Checkr.

Workforce Premium adds tools for employers with increased workforce management needs. It includes everything in Workforce Payroll, plus mobile time tracking, same-day direct deposit, expert setup review, an HR support center, onboarding workflows, time-off management, recruiting support, employee offboarding, and custom workflow automation.

Workforce Elite is designed for complex businesses needing everything in Workforce Premium plus, geofenced and project-based time tracking, payroll tax penalty protection up to $25,000, Intuit expert setup, HR advisory support through Mineral, and performance management tools for reviews, goals, and feedback.

Features and Functionality

Payroll and time tracking

Payroll remains the core function. Time entries, wages, payroll taxes, and related costs sync with the accounting system, reducing manual entry. Intuit also offers an AI-assisted Payroll Agent in beta that can collect and validate time data, flag inconsistencies, and help run payroll. Firms should evaluate that feature within each client’s review process and internal controls.

         

Time-off policies can be configured by type, including vacation, sick leave, bereavement, and custom categories. Accrual rules, balance limits, and carryover settings can be adjusted by policy. Employees submit requests through the Workforce mobile app, managers approve them, and approved hours sync to payroll.

         

Recruiting, onboarding, and offboarding

Workforce includes tools for posting jobs, tracking applicants, sending offer letters, and completing onboarding tasks. I-9 and W-4 forms can be completed digitally by the employee, and background checks can be started through Checkr from the employee profile. The main benefit is process consistency: required documents are collected through a defined workflow rather than scattered emails or attachments.

         

Offboarding uses a similar checklist-based approach. Employers can define steps for separating an employee, collecting equipment, closing access, and completing final payroll-related tasks. It does not replace compliance judgment, but it can reduce missed steps.

Benefits administration

Benefits administration is handled through a centralized hub for medical, dental, vision, and life insurance. Employees can enroll during open enrollment or update coverage after qualifying life events. Employers and administrators manage plan setup and carrier information in the same system.

         

401(k) through Vestwell

The Vestwell 401(k) integration allows contribution amounts, employer match rules, and payroll deductions to sync with payroll data. This can reduce manual coordination between the employer, payroll system, and retirement plan provider.

HR workflows and documents

Custom workflows can support recurring HR tasks such as onboarding checklists, equipment requests, policy acknowledgments, and employee information collection. Document templates, e-signature collection, storage, and employee records are also managed in the platform, with signed documents stored on the employee profile.

Performance management

Performance management is included in Workforce Elite. It supports review cycles, goal setting, and ongoing feedback. This may be useful for clients that have outgrown informal review processes but do not need a separate performance management system.

For your firm

The main benefit for accounting, bookkeeping or consulting firms processing payroll is data consolidation into the accounting system. No more time, payroll processing and G/L working separately, and that means less duplication of data and less reconciliation of time, payroll and accounting records. 

         

Another major benefit is enhanced visibility into labor costs, payroll taxes, benefit costs, and retirement contributions. That visibility can improve monthly reporting and support better client conversations about hiring, staffing levels, overtime, and total compensation.

For compliance-focused work, the platform can help standardize collection of I-9s, W-4s, offer letters, policy acknowledgments, and related documents. It does not remove the need for professional review, but it gives firms and clients a more organized record set. For advisory work, employee-level cost data can support budgeting, workforce planning, and analysis of total compensation.

Firms can use the collective information and features within QuickBooks Workforce to help clients understand the financial impact of new hires, overtime, benefit changes, or staffing adjustments. And that means 'higher billable hours' for consulting rather than compliance.
