Impact of AI on Accounting: ECA Gate & Lock's shift from QuickBooks
ECA Gate and Lock, a company specializing in the design, fabrication, installation, and servicing of automated gate systems, operates at the intersection of manufacturing, construction and field service.
With a steady flow of materials, vendors, and job-based expenses, the business depends on accurate, up-to-date financial data to operate efficiently.
But behind the scenes, its accounting processes were anything but efficient.
After implementing an AI-powered accounting platform, ECA reduced its daily bookkeeping workload from four hours to just 15–20 minutes while gaining clearer financial visibility and more reliable workflows. For this small business, replacing conventional software with AI has streamlined operations by removing the need for manual bookkeeping.
The Challenge: High Volume, High Complexity
ECA’s operations generate a constant stream of financial activity. The volume of inputs, from multiple suppliers to fuel and field receipts and payroll, was placing a significant strain on ECA’s accounting systems and processes.
ECA, like many small businesses, used traditional software for bookkeeping. However, as their business grew, it became clear that relying on a mix of different systems was limiting. With technological advances, these systems could no longer take advantage of modern software solutions.
“It looks like there’s automation, but you still have to review every single thing,” says founder Adam Tammisto.
The issue wasn’t just workload, it was fragmentation. Systems for CRM, payroll, and accounting weren’t fully integrated, leading to duplicate entries and multi-step workflows for even basic tasks. If accounting work fell behind for even a short period, catching up became a major burden.
“If you let it go for two or three weeks, you’re in a pile you almost can’t recover from,” Tammisto explains.
To maintain accurate books, he was spending roughly four hours every day inside his accounting system, time pulled directly away from running the business.
The Search for a Better Accounting Solution
Recognizing that the current approach wasn’t sustainable, ECA evaluated several alternatives, including Wave, Xero and AI-based tools layered on top of existing systems. However, these solutions shared a common limitation: they relied on the same underlying infrastructure. “If something’s wrong in the system, the AI is wrong too,” Tammisto says.
Rather than solving the root problem, many tools simply added another layer requiring ongoing review and manual correction.
Digits stood out because it approached the problem differently. Instead of layering automation on top of traditional accounting systems, it rebuilt the general ledger with automation at its core.
The Solution: Automation Built into the Workflow
After implementing the new AI-powered platform, ECA transitioned to a workflow where automation handles the majority of bookkeeping tasks.
Receipts and documents are uploaded directly into the platform, where transactions are automatically categorized and matched. Any items requiring review are surfaced in a centralized inbox, allowing for quick resolution without digging through multiple systems.
This streamlined workflow eliminated much of the manual effort previously required to maintain accurate records. Just as importantly, it reduced the risk of backlog. Even if tasks accumulate, the system makes it easy to get caught up quickly.
The Results: From Four Hours to 15 Minutes
The impact was immediate and measurable. ECA’s daily accounting workload dropped from approximately four hours to just 15–20 minutes. “That’s cut four hours out of my day,” Tammisto says.
This reduction aligns with broader industry trends, where AI-powered accounting tools are automating repetitive tasks such as transaction classification and reconciliation, enabling professionals to complete work faster and more efficiently.
Beyond time savings, the new system introduced a level of simplicity and clarity that had been missing.
Key Improvements in Workflow and Visibility
The AI-powered accounting platform’s inbox feature allows users to quickly identify and resolve outstanding items. Each transaction is linked directly to its supporting documentation, eliminating the need to search across systems. “I can click into a transaction and get right back to the document. That’s fantastic,” Tammisto says.
The platform made it easier to clean up and streamline account categories, reducing clutter and improving the clarity of financial reports. With a high volume of vendors, ECA benefits from a clear, visual workflow that shows what is pending, scheduled, and completed, providing better control over outgoing payments.
Financial Reporting That Drives Understanding
One of the most significant changes was in how financial data is presented and understood.
Instead of static reports, there is now an interactive view of financial performance. Users can drill into any number for detailed insights, making it easier to explain changes and track business performance. “It was easier for my business partner to understand the P&L,” Tammisto notes. “It just made more sense.”
This level of visibility allows the business to connect day-to-day operations with financial outcomes, a critical capability for growing companies.
Built for Real-World Small Business Needs
ECA’s experience highlights a common challenge among small and mid-sized businesses: the need for accurate financial management without the resources of a full accounting team.
Without a dedicated AR/AP function, traditional systems often require significant manual effort to maintain. “If you’re a small business owner and don’t have a dedicated AR/AP person, it’s just going to be a struggle,” Tammisto says.
By simplifying workflows and reducing manual input, ECA can now maintain control of its finances without sacrificing hours each day.
For ECA Gate and Lock, the shift to automated accounting wasn’t just about saving time; it was about making the business more manageable. The key takeaway was that simplicity drives scalability. By reducing bookkeeping from hours to minutes, the company freed up time to focus on operations, customers, and growth. The broader implication is clear: as accounting technology evolves, businesses no longer need to accept complexity as a tradeoff for accuracy. Modern systems are making it possible to achieve both.
ECA Gate and Lock’s transformation demonstrates what’s possible when accounting workflows are designed for automation from the ground up. By eliminating manual processes, simplifying financial management, and improving visibility, the company has turned accounting from a daily burden into a streamlined, efficient function. For small business owners facing similar challenges, the message is straightforward: Accounting shouldn’t take four hours a day. With the right tools, it doesn’t have to.
