Finally, QBO Users can Require Use of Sub-accounts

Yes, for years you have asked for what might seem to be a simple restriction within QBO, the ability to require users to choose only Sub-accounts rather than Parent-accounts.

In QuickBooks Desktop the ability to restrict uses to subaccounts has been available for what seems like eons, but that wasn’t so in QuickBooks Online until just recently. But now, Admin users can lock accounts within their Chart of Accounts and that means you can restrict the use of the Parent-level accounts while still providing posting access to the sub-accounts under that Parent.

To facilitate the use of this new feature, the recent update to QBO added a new ‘Parent Accounts Only’ filter to the Chart of Accounts list (as shown below) so you can easily see all the parent accounts to facilitate locking them in a batch action.

I might mention that filters for Locked Accounts Only, Unlocked Accounts Only, and Subaccounts Only, have also been added to the COA (as shown below).


By selecting Lock Accounts (as shown below), I will preclude users from having access to post to the ‘locked’ accounts.


In initiating a ‘lock’ of one or more accounts under ‘Batch Actions’, I am prompted to confirm that I want to lock them (as shown below). The message advises by locking them, “you won’t be able to select these accounts from dropdowns on forms and transactions” and that includes any third-party Apps that might have access to post transactions against the chart of accounts.


This much needed (and requested) feature has now arrived, let’s show our support for this feedback request feature release by actually using it.
