Alan Pruitt, CPA, CEO and founder of The Therapist CPA, helps private practice owners increase profitability, reduce taxes, and gain clarity over their numbers without the overwhelm. Over 17 years, he has advised hundreds of therapy practices, from solo clinicians to multi-provider groups.
Achieving consistent growth is the ultimate goal for a firm dedicated to guiding therapists through the business side of running a practice, as demonstrated by The Therapist CPA, which doubled its revenue for four consecutive years. However, this growth brought a problem that a lot of fast-growing firms recognize: the bookkeeping could not keep pace. Bookkeepers came and went and client books slipped behind. Eventually, this affected client relationships, and the firm started losing clients over bookkeeping issues. One moment stuck with Alan. In a client meeting, he presented results that turned out to be wrong: revenue had been duplicated, significantly overstating the client's actual results. He corrected it, but the episode exposed the real issue.
To fix this, Alan required reliable systems to catch errors early. He began by testing the approach on his own firm’s financial records. Alan first heard about Digits through Jason Staats' accounting community, where other firm owners were working through the same problem. He decided to try it on his own firm's books. They had fallen behind as the business grew, so rather than import them, he started fresh with roughly three years of history. On his first time using the platform, he worked through all three years of bookkeeping in four to five hours, learning curve included. He believes he could do it much faster now. “This is literally what I have been looking for and trying to put together,” Alan shared.
For Alan, the opportunity comes down to two levers: how much work each bookkeeper can handle, and how much the firm can trust the output. The first is about reducing the manual effort behind the books. The second matters just as much. “There are two different things I look at first: increasing the capacity of our current bookkeepers and, two, increasing the quality control to where we know things are where they should be, where we have confidence in the numbers.” Alan shared. That second piece is everything for a firm built around advisory. The firm’s clients rely on his team to make sense of the business side of their practices, not just to maintain a ledger. Confidence in the underlying books is what makes those higher-value conversations possible.
Adding clients is one thing, but building the systems to serve them consistently is another. After four straight years of doubling revenue, Alan had seen both sides. Rather than scale bookkeeping by adding manual capacity, he is using technology to help his existing team do more, with stronger controls around what they deliver. More capacity to grow and more confidence in the books. And a stronger foundation for the client relationships built on top of them.
